SharePoint holds files. It does not control documents.

Engineering documents scatter across SharePoint sites and shared drives. Nothing applies a number, nothing marks which revision is controlled, and a Word or Excel file has no history at all. When compliance asks who approved a document, and against which revision, the answer is an email thread.

What is an engineering document management system (EDMS)?
An engineering document management system, or EDMS, is software that holds an organisation's controlled engineering documents in one record, with document numbering, revision control, review workflows, and a full audit trail. It covers every format an engineering team produces, from DWG and PDF to Word and Excel, and replaces folders on a shared drive with a register where the current revision is clear and every change is logged. Lunr is an EDMS with more than 10 million documents under management.

How is an EDMS different from SharePoint or a shared drive?
SharePoint stores files. It does not apply a numbering scheme, it does not know which revision is controlled, and it keeps no audit trail of who approved a document. An EDMS adds document numbering, revision control, configurable approval workflows, XRAY full-text search, and a log of every change. The University of Canberra moved more than 20,000 documents off SharePoint onto Lunr for exactly this reason.

What file formats does an EDMS need to handle?
An EDMS should hold every format an engineering team produces, beyond CAD alone. Lunr keeps DWG, DGN, RVT, PDF, and IFC under revision control, along with Word and Excel, and treats each one as a controlled document with a number, a discipline, and a revision. You view drawings, models, spreadsheets, and documents in the browser, and search the text inside every format, scans included.

How does document numbering and revision control work?
Lunr applies your numbering scheme as each document is booked in, and reads title-block and metadata tags into the record so you do not retype them. Every document carries a full revision history. When a revision is superseded, the earlier copy stays on the record, numbered and marked, so no one mistakes it for the controlled version. Compare two revisions side by side, or overlay them to see what changed.

How do approval workflows and audit trails work in an EDMS?
Run each document through a configurable workflow, from draft to review to approved, with reviewers and assignees set for every stage. Each transition is recorded against a named person and a revision, so an approval is never a line in an email thread. A full audit trail sits behind every controlled document, filtered by document lifecycle, revisions, or validation, and you can export it for an ISO 19650 or compliance audit at any time.

Can you migrate documents from SharePoint or an existing system?
Yes. Import documents in bulk, and Lunr reads title-block tags from each drawing and the metadata on each file into the record, so numbering and discipline are populated as documents come in. Your numbering scheme applies automatically. Export all metadata, documents, and models whenever you need to, so the record stays yours.
